Administration Officer for Portfolio Management Unit – Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH

The GIZ main office in Amman is seeking a “Administration Officer for Portfolio Management Unit” on a full time base employment.
Major Responsibilities:
1. Administration Services to the Portfolio Unit
• prepares visit schedules for field visits, journalists trips, supporting missions from Germany in close coordination with the Portfolio Manager
• assists in preparation of surveys, questionnaires in line with GIZ policies and support the compilation of results by preparing a suitable method of presentation in close coordination with the Portfolio Manager
• follows up of email requests, photocopying, scanning, preparation of letters in English/German/Arabic, filing and labelling in line with GIZ rules and regulations
• stock keeping of PR materials and products
• arranges appointments and supports the Portfolio Manager and colleagues of the unit with all related information
• executes short translations when needed -English/Arabic/ (German is a plus)
2. Information Management and Research
• in consultation with the Portfolio Manager carries out research activities and studies on thematic issues which benefit the portfolio and the cooperation programmes
• organizes contact database and assure the continuous update of information
• organizes shared calendars using GIZ internal system and keeping them up-to-date
• prepares and updates information lists (project lists, portfolio relevant data, etc)
• assists in preparing country brochure, country factsheets, leaflets for visitors, organigrams
• researching, compiling, documenting, structuring, storing, filing and updating knowledge and experience, to make it accessible
• supporting the preparation of presentations, and all printing materials and promotion material
3. Organization of events
• organizing and coordinating logistical aspects for planning, holding and documenting meetings, workshops, seminars and other events
• arranging program for visitors, makes travel arrangements such as booking tickets, flights, hotel reservations, transport etc)
• prepares high ranking visitor plans when needed
• supports the preparation of presentations, and all printing materials and promotion material
