Field Officer – Driver – The International Committee of the Red Cross (ICRC)

Standard function description:
– Maintains contacts with government & official affiliations
– Organises applicants’ files in an orderly manner with all endorsements
– Ensures the proper follow up of application files for visas, entry permits, residencies, etc
– Ensures proper logistical support for movements when needed
– Maintains team work spirit
– Maintains the confidentiality of the dept. and its work
– Follows guidelines of the delegation & the department (for work related issues) Respects the hierarchy
Handling of official & government relations:
– Gets acquainted with the embassies, ministries & government departments, their key persons, their operational aspects, their set ups, etc.
– Builds up contacts with key persons on site (in the field) inside these government & official affiliations; their names & telephone/mobile contacts.
– Keeps an updated copy inside the dept. of the regulations, visa info, changes over law constituents, etc for any government unit, ministry or embassy
– Handles all the residency field work for helpers & their follow ups
– Coordinates with the Ministry of Interior to update the welcome with the entry visa regulations to Jordan, list of restricted nationalities & any changes on them
– Coordinates with embassies of the most common destinations to list & keep a record of the visa application procedures & regulations for the different nationalities of ICRC personnel
– Updates the welcome stock of visa application forms from different embassies with new copies
– Intervenes & handles all occurring problems, delays, complications, etc on visas, residencies & their relevant issues with any government unit or official representation (embassy)
– Finds solutions for problematic issues & follows them up until resolved
– Coordinates with the welcome & protocol to fill them in with the new procedures, updates, changes, etc of regulations, visa formats, etc at any embassy or ministry
– Updates both welcome & protocol with problematic files & the taken course of action
– Keeps all documentation of the resolved/unresolved problematic files for future references
Handling airport relations:
– Gets acquainted & builds up relations with the key persons at the 02airports in both the arrival & departure terminals whether official (government) personnel or airline station managers
– Handles all problematic issues with the entry/exit of all restricted nationalities including Iraqis, PRC files for Prot unit, etc
– Be extremely mobile, persistent & diligent to intervene at any point, time & day to find solutions & resolve issues
– Helps with any pick up/drop off/internal movements for the dept. when needed
– Reports all incidents, their details and taken actions to welcome & protocol supervisors
– Handles the protocol procedures for the arrival / departure of VIP's
– Handles the field arrangements for the entry to the airport VIP/CIP lounges & be the focal point to lead & welcome ICRC VIP's there
Coordination, PR & support tasks:
– Coordinates well with interlocutors and colleagues alike
– Fills in the application format for restricted nationality, residencies, extension of stays, etc and add all its endorsement papers when requested
– Keeps track of all the application of entry permits, residencies, etc (follow up with ministries)
– Keeps track of all the visa applications (follow up with embassies)
Working within a team & other interpersonal skills to maintain certain work ethics:
– Works well under pressure & undertakes extra work tasks when the need arises
– Maintains a good teamwork spirit & open communication skills and helps in strengthening them
– Accepts constructive criticism by the supervisor on work cases or attitude & adapts measures to improve
– Accepts & maintains guidelines & standards of service that are set in the dept.
– Reports to welcome & protocol supervisors on work cases as daily briefing, when in doubt, in problematic cases, etc
General Duties
Be aware of the delegations objectives and activities
Understand the three components of the Red Cross/Red Crescent Movement
Apply the security rules at all times
Respect and observe the staff regulations of the ICRC in Jordan.
The employee may be asked to perform other duties not covered in this job description as well as to provide support to other departments when & if necessary
