HR Admin Manager (WoS) – ACTED

– Respect and Follow Up the ACTED’s HR Procedures
– Ensure ACTED HR policy is in line with the Local Law.
– Prepare all administrative letters when needed
– Prepare all Administrative Documents such as internal notes, regulation, PoAs
– Ensure compliance of ACTED to legal requirements of the country, including visa and work permit requirements follow-up for staff.
– Follow up ACTED issues (tax payment, registration, etc.)
– Inform ACTED Coordination of any problem regarding HR & Admin (ethic issues, process, internal conflicts, legal aspects, regulation, etc.)
– Ensure an on time and efficient flow of information with HQ
Human Resources Management
– Supervision of staff in Capital Office & Acted bases
– Control & Checking attendance sheet of staff and arrangement of monthly report for salary distribution
– Ensure the compliance of National Staff contract procedure
– Maintain all International Staff records, passport and visas, contracts, boarding pass for administrative and security reasons
– Follow up of staff appraisal forms
– Manage the ACTED office and GH
– Ensure that all internal process, regulation, are available for all ACTED staff and ensure a proper access to this information by posting on ACTED’s office with if possible proper translation in national language
– Follow-up all types of leaves and ensure both National and International Staff understand the leave procedures
Titanic Follow Up:
– Gather information from the bases and consolidate the TITANIC and preparation of the salary vouchers for finance check
– Check and control all staff grade, salary & position to be in accordance with ACTED salary grid
– Send consolidated HR Titanic to HQ on 15th of each month
– Support the preparation of the vacancy announcements for National Staff in all ACTED bases in the country through relevant channels
– Receive all applicant CVs, draft candidates’ list, conduct interviews to recruit required positions and file all applicant CVs & documentation
– Draft employment contract for National Staff and collect all information required for contract (ID Cards, photos, identification information, reference…)
– Supervise the Filling system of all ACTED Staff in the country
– Supervise the personal folders of ACTED expats
– Training of new staff for HR/Administration positions.
– Brief induction/training for all new staffs on ACTED HR policies
