PERSONAL ASSISTANT/SECRETARY TO CHIEF EXECUTIVE

Main purpose of job
To provide a full secretarial and administrative support service to the
chief executive.
Main responsibilities
1. Provide a full secretarial and administrative support service to
the chief executive.
2. Maintain the diary and arrange appointments as necessary.
3. Type reports and routine correspondence from dictation or
written sources.
4. Screen and respond to all incoming telephone calls and take
action as appropriate.
5. Draft routine correspondence for approval and signature by the
chief executive.
6. Receive visitors to the office.
7. Open and distribute post.
8. Attend and minute all board meetings and arrange for the
distribution of the minutes.
9. Maintain the office filing system and all personnel records.
10. Make all travel arrangements for the chief executive.
11. Make arrangements for any meetings required by the chief
executive.
12. Undertake projects and research, which might require contact
with external agencies, as required by the chief executive.
13. Operate standard office equipment such as word processor,
photocopier etc.
14. Act as the chief executive’s representative at internal meetings.
15. Oversee the maintenance of secretarial standards throughout the
company and contribute to the training of other secretaries.
