TELEPHONE SUPERVISOR

Main purpose of job
To supervise the operation of the company’s telephone service to
ensure that it provides a prompt, courteous and efficient response to
callers.
Main responsibilities
1. Supervise the company’s telephonists to ensure that they are
appropriately trained and carry out their responsibilities to the
required standards.
2. Oversee the operation of the company’s telephone service, ensuring
that all calls are dealt with promptly, courteously and efficiently.
3. Organize a staffing rota to ensure that adequate cover is provided
for the telephone service.
4. Maintain an answering machine service for out-of-hours callers,
ensuring that the tape message is kept up to date.
5. Monitor feedback from users about suggested changes or improvements
to the service to ensure that it continues to operate to high
standards.
6. Oversee the maintenance and distribution of the internal telephone
directory to ensure that users have up-to-date and accurate
information.
7. Monitor the overall effectiveness of the telephone service and
provide managers with reports on its operation and any changes
required.
8. Report any faults with the service to relevant managers to ensure
that action is taken to resolve problems.
