Administration Manager

Duties and Responsibilities
– Lead the administration department to ensure quality operation in the university.
– Providing administrative support to the President and the senior management and academics of the College.
– Coordinate the relationship between the different departments and ensure efficient operation.
– Manages relationship and assist in establishing constructive relations with Government bodies including coordination and communications with Private Universities Council (PUC) and other organisations for obtaining required government approvals and submission of progress reports as required.
– Collect and maintain essential information on the university that will allow the generation of annual reports to PUC, other funding authorities and Board of Trustees.
– Arranging senior management and academic meetings including agenda preparation, minute taking and follow-up actions.
– Ensure accurate recording of progress on all essential actions in order to keep deadlines
– Managing HR related issues – recruitment, shortlisting, interviewing and offer letter generation until HR department is established.
– Supervise the Procurement unit to ensure compliance with rules and regulations.
– Supervises the day to day operation and performance of the secretaries Administration issues for newly appointed faculty including communications with HR for staff accommodation and visa issues.
– Facilitate in responding to students/parents issues related to the College.
– Translation of Arabic documents as required.
– Creating and maintaining Personnel & Administration data base.
– Implements/updates (where applicable) the Personnel Policies & Procedures.
– Plans/Schedules/Follows-up on Social events/activities in cooperation with the marketing team.
– Ensures compliance with Kuwait Laws.
– Provides support to the President to coordinate the long-range plans of the College, assesses the manpower requirements implicit in these plans and develops alternative ways in which working requirements can be fulfilled.
– Any other duties assigned by the President.
