Administrative Assistant – Artan Holding

Reception Duties:
 Answering, screen and forward incoming phone calls
 Greeting, welcoming and directing guests as soon as they arrive to City College
 Dealing with incoming and outgoing post and emails. Provide basic and accurate information in-person and via phone/email
 Signing for deliveries. Arranging couriers and taxis
 Maintain security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, etc.)
Admission Support Duties:
 Provide support for the admission of students
 Process application forms (including data entry)
 Communicate with students and their parents/guardians. And proactively solve their problem
 Be the first point of contact for prospective students
 Ensure the query is tracked and recorded if action is necessary
 Promote the college to potential students
Administrative Duties:
 Organize and schedule appointments. Plan meetings and take detailed minutes
 Write and distribute email, correspondence memos, letters, faxes and forms
 Assist in the preparation of regularly scheduled reports
 Maintain contact lists. Book travel arrangements when requested
 Maintaining a basic customer relationship management system
 Courier accounts and paperwork; some supplier accounts and paperwork. Order, to the respective department, front office supplies and keep inventory of stock
 Maintaining a link with Sales and Marketing, who also deal with customers; undertake inbound client service where necessary
 Undertake basic demand analysis for courses and programme areas
 Producing monthly reports of activities and performance against KPIs
 Health and Safety; Support in fire drills and/or emergencies
