The Receptionist is responsible for providing secretarial, clerical and administrative support in order to ensure that municipal services are provided in an effective and efficient manner.

Duties and Responsibilities:


Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.

Directs visitors by maintaining employee and department directories; giving instructions.

Maintains security by following procedures; monitoring logbook; issuing visitor badges.

Maintains telecommunication system by following manufacturer's instructions for switchboard.

Courier Management

Receive and sort daily mail/deliveries/couriers

Process Courier Company invoices within 10 days from the date of receipt.

Booking System for Conference Room

To maintain the conference room booking system according to requests from management and to ensure an up-to-date report is kept on the network ‘r’ drive for reference.

Process telephone bills for payment by ensuring the set procedures are followed.


Perform such other tasks as determined by Line Manager from time to time.

Maintain regular, consistent and professional attendance, punctuality, personal appearance and adherence to relevant health & safety procedures.

Establish and maintain effective working relationships with customers, visitors and staff.
