Business Solutions Specialist – Al Mana

Role Objective:

The Business Solutions Specialist is responsible for providing support to the IT team, service to employees, and is responsible for systems management across all departments. Provides support to the IT function through aiding IT related queries from employees as well as management of systems.

Detailed Roles and Responsibilities:


• Provide input into the budgeting of IT requirements, allowing planning of operations and taking in to account any changes that may result from changing business plans and requirements

• Provide input for purchasing of software, peripherals, services or hardware for division employees helping them identify best equipment for particular purpose or role

• Help negotiate and administer supplier contracts and service agreements to help reduce costs while ensuring best value for money is obtained from each supplier

• Aid with the production of project feasibility and costing reports allowing realistic expectations to be set for any IT projects to be initiated in accordance with departmental requests

• Generating the E-files and encoding the data in the system


• Communicate regularly with individuals to assist in IT issues or queries, enabling employees to have a fuller or optimized understanding of use of products, ensuring best value for money is obtained, end user satisfaction and security of each query

• Provide technical support for end users in relation to printers, computers and any other IT related hardware/software allowing a seamless operating service to be upheld by employees

• Provide any necessary training to employees for daily application and use, from an end user perspective ensuring full understanding of any new software, applications or databases for optimized usage

• Collecting the daily sales files from all the POS and unloading in the system

• Updating the system with the new items arrival and validating the shipments for all the related store

Internal Business Processes:

• Assist with network and security management within the IT department, allowing improved confidentiality to be developed and sustained within and outside the department

• Aid with data storage architecture to improve efficiencies and governance for all departments, eliminating excess storage and allowing multi user access as and when required

• Provide any required support with procurement and the implementation of new servers or systems, etc.

• Assist with the development of systems from a technical perspective but also as an end user measuring use ease of any new systems

• Assist with user management (adding/deleting users/emails etc.) for reasons including improved governance, security, up to date information for all users required

• Monitor IT hardware such a printers, copiers, faxes to ensure in proper working order and providing regular maintenance in order to maintain operational efficiencies

• Assist with technical documentation of processes and systems, allowing process map creation ensuring knowledge is kept within the business but also for purpose of queries from employees outside the IT department

• Support with the creation and documentation of technical knowledge base for common issues experienced by end users so that these may be addressed and acted upon if recurring patterns

• Provide first line incident support and resolution for employees who are experiencing issues with hardware or software allowing operations to run smoothly

• Escalate any IT queries, issues, concerns that do not fall in remit to the IT Manager or Systems Analyst as appropriate to ensure they are answered correctly and in line with practices

• Coordinate system maintenance updates and upgrades allowing efficiencies for all employees

• Support the delivery of business IT solutions and projects as required providing technical support, creating improved understanding for employees when required

• Supporting Accounts and Sales team during the shipment and an events by providing the tags (barcode & price labels) to related shops

• Design and preparing all the analytical reports requested by management and brands (ex, Sell- though, Quantity received / on hand, stock levels, employees attendance and End-month sales )

• Facilitate and operate the viewing of recorded videos form the CCTVs

• Transfers computer files between platforms

Learning and Growth:

• Keep up to date with latest technologies to aid in determining new technological solutions, and assist in research of these to find those that may be beneficial

• Maintain professional and technical knowledge through attendance of workshops, reviewing professional publications, benchmarking practices and participating in professional societies and sharing knowledge which may be useful
