Country HR/Admin Manager – ACTED

1. Administration Management:

 Prepare all Administrative Documents such as internal notes, memos etc.
 Follow up of Legal-related issues, in coordination with ACTED lawyers (Mission registration, Professional license, Work permit/residency (international staff, etc.)
 Ensure the Admin/Liaison assistant follows the visa renewal for all international staff particularly the intern who are not entitled and included in work permit/residency process;
2. Human Resources Management (National & International)

 Supervision and management of Admin/HR staff in Capital Office & technical support of HROs at ACTED bases
 Review, control & check monthly HR Titanic and ensure as per attendance sheet and other support documents accurate data and information is reported to Finance for salary payments See more details in part III below
 Follow up of staff appraisal form with relevant department managers as indicated in HR manual
 Oversee the process of personal folders and accuracy and exhaustiveness of staff personal folder contains; develop the check list for PF and implement it and follow regularly with efficiency.
 Management of public holidays & keeping informed all bases/staff (national/International).
 Follow up staff satisfaction survey analysation of the reports and communicate to all staff.
 Follow up with HQ HR and Hub the arrival of new international staff and coordinate it internally with logistics and Dispatch;
 Ensure each new international staff received induction briefing and coordinate among all relevant ACTED departments. (Coordination, FLAT, Security, Programs, as well as job training and additional useful information on ACTED mission in Jordan.)
 Follow up of International staff Appraisal forms with HQ and Country Director
3. Titanic Follow up (National & International)

Staff list/Staff Changes report to be collected from field not later than 20th of each month.

Staff Costs report to be collected from field not later than 25th of each month.

Organize field visit to cross check Admin/HR documents with software reports of field on quarterly basis to ensure transparency and accuracy as well as relevant department proper set up.

Prepare the International staff presence table and Paid Leave table follow up and send it on a monthly basis to HQ HR dept.

Support HQ HR on provision of required documents linked with International staff (up on request).

4. Recruitment (National&International)

Oversee and manage the national staff recruitment to ensure the VA is released and CVs collected.
Prepare vacancy announcements for National staff in ACTED Amman and follow with bases the recruitment process as per monthly Titanic report planning.
Cross check with Finance to ensure budget is available for new recruitments;
Ensure that TORs are prepared by line manager prior to release the vacancy announcement; Ensure that Admin. Assist. collect all necessary documents of applicants as indicated in ACTED HR Manual.

5. Personal Folders:

Ensure that thorough personal folders system for both, National & International staff is existed.ensure that the personal folder database have been updated by Admin assist. on regular basis.

6. Capacity Building (Internal & External Training)

Conduct review and survey of staff performances with direct contact of line managers to identify requirement/needs for training.
Brief Training for all new International/national staff on ACTED system, procedures, code of conduct and internal regulation.
Search various sources (websites, trainings centres) to introduce staff for short terms courses.
Organize regular training for staff based on requirement, confirmation of line managers.Analysis on regular basis the efficiency of training.
