Executive Assistant – (Saudi National or Jordanian Only) – Al-Gihaz Holding

Responsible for initiating and coordinating the administrative functions required for the efficient and effective functioning and support of Management. Quote proposal. Responsible for uploading database. Screening the telephone calls, enquiries and requests for Management. Responsible for calendar Management, requiring interaction with domestic and international clients, to coordinate a variety of meetings for Management. Arranging appointments and maintains all the Management‘s calendar and ascertain which events require their presence and coordinate such with other Managements. Preparing agendas and other material for the Management’s as required. Co-ordinate and support of Management’s meetings. Prepares and distributes minutes of meetings and follows up on actions as necessary. Monitors follow through on decisions taken at meetings and prepare status reports as necessary. Ensures that correspondence intended for Management’s signature is accurate and properly addressed. Handling all emails and correspondence confidential and sensitive matters with discretion. Maintains up-to-date lists of all the domestic and international clients. Work closely with the Managements to coordinate and launch email marketing campaigns to consultants, clients and prospects. Coordinate, arrange and schedule all meetings hosted by the Managements. Take initiative in Management’s absence and delegating and overseeing work to others in his absence. PROJECTS Prioritise and manage multiple projects simultaneously, and follow through on issues in a timely manner. Relieve management of administrative functions wherever possible. Assist Management’s with preparation of presentation, reports and materials for various initiatives. Update on and follow up delegated tasks to ensure progress in sync with timelines. Preparing draft quotes for client enquiries. Ensure all processes and guidelines for operating procedure are adhered to, both personally and by monitoring all staff and Management. Identify any areas of the business process not functioning correctly and draft/submit suggested changes to function. TRAVEL Arrange travel schedule and reservations for Management’s. Arrange hotel accommodations through official travel agent. Prepare itinerary, trip file, and supplies. Arrange expense sheet, foreign currency, immigration forms and any other requirements of the person who goes on business trip.
