HR & ADMIN. Manager Assistant – Crown Jeddah Beverage Can Factory

Reporting to : Human Resources & Administration Manager
Scope.
Responsibilities are focused on helping or working on behalf of HR Directors and Managers to accomplish HR-related tasks. Involved with all programs and services that relate to company’s human resources department. Work for all administrative nature fields involves documenting grievances, terminations, absences, performance reports and compensation and benefits information.
Main duties.
Reporting:

Compiling reports and spread sheets of HR activities.

HR presentations.

MISHR reports for the plant manning.
Budgeting

Prepare plant Manning budgets for the plant as per the Sales and operations budget & forecasts.

Prepare detailed MISHR classification files in monthly basis.

Prepare plant STD and Act working hours, absenteeism hours.
Recruitment

Participate in recruitment efforts, posting job advertisements, organizing resumes and job applications.

Co-ordinate recruiting, hiring and training new employees also included. Gathering information on new applicants, contacting references and informing employees of their hiring status.

Preparing new employee files. Overseeing the completion of compensation and benefit documentation.

Orienting new employees to the organization and setting up a designated log-in, workstation, email address, etc.).
Communication

Assist to get proper answers to employees questions, deal with investigations for any disciplinary actions.

Serving as a point of contact with service vendors and providers.

Setting appointments and arranging meetings, maintaining calendars of HR management team.

Administering employee performance appraisals, employee training details, department training matrix.

Administer and supervise employee accommodation facilities.

Maintaining records and files for all types internal and external audits.

Arrange and handle company social meetings and parties.

Prepare and raise PAR for any major expenditures.
– Contracting

Responsible for outsourcing temporary workers for any emergency situations.

Responsible for service contracts – Hotels, Pest control, waste disposal, HKP, Repairs etc.

Administration:

Follow up on MODON related issues.

Follow up on Government related issues ( Labor office, Jawazat office, traffic police .. etc )

Manage plant property, barking area with coordination with plant manager.

Manage security related issues.

Manage employees ticket as per company policy.

Along with concern managers, insure manage annual party and any other social activities.
Training:

Do the gap analyses and work with department heads to get the training needs.

Record all trainings per department and per individuals and reported in monthly bases as per Crown standard.

Verify all training suppliers and manage the training budget in cost effective way.

Insure we have training plan in the beginning of the year and delivered by end of it.
Personnel:

Insure all employee personal files completed as per SOX audit

Insure all employees personal files are kept in closed room and looked with limited access to HR people.

Insure all employees data and communication kept in confidential zone.

Insure employees letters delivered on time.

Manage all employees vacation without delay.
MIS:

Insure all employees data updated in HR system on time.

Insure the security of employees data.
Policy and procedures:

Insure HR policies implemented on all employees levels.

Insure HR procedures are communicated to all employees in easy and simple way.

Assist in HR projects with HR manager and department managers.

Insure performance appraisals done to all employees levels on the right formats on time.
