BACKGROUND TO IRC
Founded in 1933, the International Rescue Committee responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives.
Working in coordination with the humanitarian community and the Government of Jordan, the IRC's assistance program for Syrian refugees in Jordan includes both camp-based (Zaatari, Cyber City and King Abdullah Park camps) and urban-based refugee assistance (Mafraq, Ramtha, Irbid). The IRC's assistance programs focus on supporting the health / reproductive health as well as the gender based violence (GBV) and mental health/psychosocial support (MHPSS) sectors through the operation of two clinics in Ramtha and Mafraq, providing comprehensive PHC, RH, GBV and psychosocial support (PSS) services to urban refugees. Recognizing the vulnerabilities of urban refugees and particularly the risk to women and girls posed by lack of economic means to secure shelter and other basic needs IRC also provides cash assistance to vulnerable families in Irbid, Ramtha and Mafraq. In Zaatari IRC is responsible for the case management of unaccompanied minors.
SCOPE OF WORK
The Economic Recovery and Development (ERD) Information Management Assistant will work closely with the ERD Senior Monitoring Officer to support the implementation of ERD activities mainly being responsible for the overall data management of the ERD Program. (ERD) Information Management Assistant will support the ERD team in general with entering beneficiary information from paper records into Microsoft Excel, Microsoft Access, or other identified data management system for programmatic data storage and beneficiary tracking as well as archiving of all relevant beneficiary documentation. The (ERD) Information Management Assistant will be based in the Mafraq office in order to work with program assistants from the different technical areas, with regular visit to Amman and will be committed to providing updated data/information for internal reporting requirements.
RESPONSIBILITIES
Program Implementation and M&E Support
Support the data management process for the ERD Program, including data entry/collection, data analysis, and other information as needed, while ensuring accuracy of numerical and qualitative data and addressing inaccuracies as they arise.
Conduct regular visits to the ERD Program Officers at the three Women’s Centers (Mafraq, Irbid, Ramtha) and the new center in Amman, to provide continuous support and oversight on data management (entry and collection)
Build ERD volunteers capacity to conduct M&E activities, oversee the implementation of surveys and report any quality issues to the Data Management and M&E Officer
Maintain the quality of data by conducting cross checks using source documents, identify data errors and address it with the Data Management Officer
Flag any missing information/documents or errors to program assistants and proactively follow up to retrieve this information/document
Support the planning for the ERD distributions (Cash Assistance, Business Grants and Apprenticeships) with the related team members
Support the audit process and provide gather the requested samples from all locations.
Combine and rearrange data from source documents when and as requested
Contribute to the creation of automatic reporting tools
Update ERD database, follow up on the online applications, and support the transfer of data if the database software is changed
Maintain the archive system (hard and soft), filing and scanning all signed MOUs, distribution lists, and ID copies after each distribution as per provided guidelines
Maintain an updated inventory list for the ERD data equipment (tablets, laptops…etc)
Any other tasks will be assigned by the supervisor
Coordination
Participate in weekly follow up/feedback meetings with colleagues to maintain high quality of data management
Attend internal coordination meetings with other ERD colleagues to discuss opportunities and challenges.
Attend M&E meetings with other IRC colleagues to discuss opportunities and challenges.
Other Duties
Participate in procurement planning when needed.
Participate in regular team meetings and supervision sessions.
Work constructively within the team and take initiative on new tasks and ideas.
Identify areas for streamlining data entry and sorting processes
