Reporting to the MD, the chosen candidate will be instrumental for streamlining the operations and ensuring rapid business growth. She/ he will provide support in two areas:
Sales Support – supporting sales and pre-sales teams by executing all sales tasks from quotation/ proposal till delivery/ project completion (order-to-cash cycle).
Logistics – ensuring all organizational logistics and procurement’s documentation, management, reporting and other admin-related issues are managed on a day to day basis.
She/ he should promote a client-focused, quality and results-oriented approach. This individual will be pro-active, should possess a close attention to detail and have strong decision-making skills.
Primary job responsibilities include the following:
Order handling, shipping & invoicing for clients
Provide clients with regular updates once a purchase order is awarded and till delivery/ project completion
Prepare sales quotations and proposals in coordination with pre-sales, sales and finance personnel
Track order progress & update customer and opportunities records in the CRM used
monitor active purchase orders and make sure that orders are completed on time
Build & maintain strong customer relationships
Maximise revenue and customer satisfaction
Support local document requirements regarding certification, export/ import/ customs clearance, documents for compliance and letters of credit
Set up SOPs for logistics, procurement and purchases to be followed by all
Prepare procurement plans for awarded and upcoming projects
Handle all imports and exports documentation including customs clearance
Manage freight forwarders and clearance agents; negotiate with them favourable rates and payment terms and follow up on every job with them from raising inquiries to job completion
Identify and compile a list of vendors to ensure quality and cost-effective sourcing.
Assist in project’s asset management and asset tracking.
Conduct bid analyses and prepare procurement documentation for review.
