Secretary for Administration & Finance Department – Gas Exporting Countries Forum (GECF)

Position Overview:
1. Under minimal supervision, assists in handling of visitors and calls to GECF Secretariat employees, servers as secretary to the department Head and provides administrative and clerical support to Administration and Finance Department, as may be assigned.
2. Responsibilities includes the routine secretarial, administrative, statistical and clerical tasks.
Principal Responsibilities:
1. Composes and edits internal and external correspondences and documents, types routine documents; prints labels, name banners, etc., from pre-existing templates and updates basic databases.
2. Sorts and distributes mail and materials within Secretariat. Faxes, photocopies & collates materials.
3. Resolves routine problems in a thoroughly and timely manner and ensures that more complex inquiries are addressed and resolved.
4. Prepares attendance report, updates some of the Administration files (e.g. attendance, leave scheduling, etc.) and maintains them.
5. Sorts and distributes mail and materials within Secretariat. Faxes, photocopies & collates materials.
6. Controls and updates the Document Flow for Administration and Finance Department, creates and maintains filing systems.
7. Monitors and orders stationery items and manages the stationery room and its inventory.
8. Assists with preparation of materials for events such as during Guests Lectures, EB Meetings, etc.
9. Schedules travel arrangements and meetings. Attends meetings, records, drafts and distributes minutes from departmental meetings.
10. Assists with preparation of materials such as during Guests Lectures, EB Meetings, etc.
11. Any other task assigned by the Head of Department.
