Secretary – Gulf Insurance Co.

Job Purpose:
– To perform routine secretarial and administrative duties for the department and ensure smooth operation of the day-to-day work.
– To uphold the company’s ethics, operating policies and conform with the department work instructions.
Primary Duties Performed:
– Sorts the daily incoming mail to facilitate distribution, ensures the timely attendance of outgoing correspondence and reports.
– Refers to files and collects the relevant background data as directed to enable the manager to respond in a timely manner.
– Types letters, memos and reports from rough hand-written drafts or typed documents ensuring correctness of spelling, punctuation, grammar and formatting.
– Screens telephone calls, answers routine questions, takes messages and refers callers to alternate sources when appropriate.
– Maintains the manager’s diaries, arranges appointments and meetings as per the manager’s directives.
– Acts as a receptionist for the department visitors and inter-departmental staff.
– Maintains an up-to-date filing system for quick and easy reference, including updating of client addresses.
– Arranges and controls stationery and other supplies for the department.
– Assists in any other secretarial and administrative capacity as and when required
