Temporary Administrative Assistant -Corporate Services – College of the North Atlantic – Qatar

Under the supervision of the Manager, Corporate Services the successful candidate areas of duties / responsibilities will include, but are not limited to:

DUTIES AND RESPONSIBILITIES

• Provides administrative support to the manager and staff in the Corporate Services department

• Provides event management support to the Corporate Services team

• Organizes meetings and sets up appointments in the Manager’s calendar

• Maintains Meeting room calendar

• Creates and maintains physical and electronic filing system for the department

Maintains office inventories and workshop supplies including promotional gifts; orders office supplies as needed

• Prepares and updates client profiles and gathers and computes relevant data from a variety of sources

• Prepares and processes invoices/cheque and creates requisitions for the department

• Maintains the department expenditures by preparing and processing purchase orders

• Prepares and processes petty cash

• Maintains Corporate Services office space so it has a professional, organized and tidy appearance

• Maintains Corporate Services bulletin board

• Maintains attendance records of Corporate Services staff including the collection of Annual and Sick Leave forms; forwarding the required attendance sheet and leave forms to HR on a timely manner

• Takes minutes at staff meetings

• Performs routine office duties such as photocopying, preparation of course materials and welcome kits with the assistance of the Clerical staff when available

• Provides assistance to Corporate Services Coordinators with course/program preparations (contacting students, preparation and filing of certificates, ordering course material and books from the bookstore, liaising with instructors when needed, etc.)

• Maintains website and intranet content, SharePoint and other CS electronic files and folders

Prepares a variety of letters, forms, reports and other documents

• Replies to general inquiries received by phone or email and forwards relevant inquiries to concerned staff

• Takes Action Notes/Minutes at meetings as required.

• Performs miscellaneous job-related duties as assigned.
